Job applicants (recruitment)

If you apply for a position with us, we process your personal data you provide during the recruitment process. We typically process the following information:

Storage of application data: If you are not offered a position, we typically store your application for up to 6 months after the recruitment process has ended, unless you have consented to a longer storage period.

Sharing of applicant data: Your data might be shared internally with relevant managers and HR personnel involved in the recruitment process. We do not share applicant data with external parties unless required by law or if external recruitment services are used under a data processing agreement.

Sharing of personal data

We may share your personal data with selected third parties where necessary for the purposes described in this policy. These may include IT-service providers, hosting providers, professional advisors such as accountants and legal advisors, and public authorities where required by law.

All third party service providers processing personal data on our behalf are subject to appropriate contractual safeguards and may only process the data according to our instructions and in accordance with applicable data protection laws.

International data transfers

We always strive to process your personal data within the EU/EEA area. However, some of our service providers process your personal data outside of the EU/EEA. We also use suppliers whose parent company, or whose subcontractor’s parent company, is based outside the EU/EEA. In these cases, we have taken into account the risk that the personal data may be disclosed to countries outside the EU/EEA, for example because of an authority request. In cases where another recipient of your personal datais based outside the EU/EEA, this will also mean that your personal data is transferred outside the EU/EEA. When we, or one of our suppliers, transfer your personal data outside the EU/EEA, we will ensure that a safeguard recognized by the GDPR is used to enable the transfer. We use the following safeguards: A decision by the EU Commission that the country outside of the EU/EEA to which your personal data is transferred has an adequate level of protection, which corresponds to the level of protection afforded by the GDPR. In particular, we rely on the EU Commission’s adequacy decision for the US via the so-called EU-US Data Privacy Framework, and the adequacy decision for the UK. Entering into the EU Commission’s standard clauses with the recipient of the personal data outside the EU/EEA. This means that the recipient guarantees that the level of protection for your personal data afforded by the GDPR still applies, and that your rights are still protected. When your personal data is transferred outside the EU/EEA, we also implement appropriate technical and organizational safeguards, to protect the personal data in case of a disclosure. Exactly which protective measures we implement depends on what is technically feasible, and sufficiently effective, for the particular transfer. Artificial Intelligence in Recruitment

We utilize Artificial Intelligence to assist in screening and evaluating candidate profiles. This technology helps us identify relevant skills and experience more effectively. All AI-generated insights are reviewed by a human recruiter; we do not use fully automated systems to reject candidates without human oversight. In accordance with the EU AI Act and GDPR, we ensure these tools are used transparently and ethically. You may request a manual review of any AI-assisted assessment by emailing info@fprt.dk.

Data retention

We store personal data only for as long as necessary for the purposes described in this privacy policy. The retention period depends on the type of data and the legal or operational requirements applicable to it:

Accounting data is stored for up to 5 years, Recruitment data is stored for up to 6 months, Technical logs are stored for up to 6 months.

Security measures

We implement appropriate technical and organizational security measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access.

These measures include access to control systems, secure hosting environments, encryption where appropriate, internal data protection procedures, and agreements with trusted service providers who are required to protect personal data in accordance with applicable data protection laws.

Access to personal data is limited to employees and partners who need the information in order to perform their work. We regularly review and update our security practices to ensure an appropriate level of protection.

Automated decision making

We do not use automated decision making or profiling that produces legal effects or similarly significant effects for individuals.

Your rights

Under the GDPR, you have several rights regarding your personal data. These include the right to access your personal data, the right to rectify inaccurate or incomplete personal data, the right to erase your personal data, the right to restrict our processing of your personal data, and the right to object to the processing of your personal data.

You also have the right to data portability, meaning you can request to receive your personal data in a structured, commonly used, and machine-readable format and have it transferred to another data controller where technically feasible.

Where processing is based on consent, you have the right to withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.

Finally, you have the right to file a complaint with a supervisory authority, such as The Danish Data Protection Agency (Datatilsynet), if you believe that our processing of your personal data is in violation of applicable data protection laws.
